Policy on the Use of Gen AI
Praxis: Journal of Indonesian Language and Literature Education recognizes that generative artificial intelligence (Gen-AI) tools can support academic writing, research, and editorial activities. Their use must be responsible, transparent, and consistent with academic integrity, research ethics, and the principles of scholarly publishing.
This policy applies to authors, reviewers, and editors involved in manuscript preparation, peer review, and editorial decision-making.
1. Use of Gen-AI by Authors
Authors may use Gen-AI tools to assist with language improvement, grammar checking, translation, brainstorming, or organizing text. However, authors must comply with the following requirements:
- Authors remain fully responsible for the accuracy, originality, integrity, and final content of their manuscripts.
- Gen-AI tools must not be listed as authors or co-authors because they cannot assume responsibility for scholarly work.
- Any substantive use of Gen-AI in developing manuscript content, analysis, interpretation, or other scholarly contributions must be transparently disclosed.
- Authors must verify all AI-generated information, references, quotations, data, and interpretations. Fabricated citations, inaccurate information, and misleading claims are unacceptable.
- Authors must not use Gen-AI to fabricate or manipulate research data, results, images, or evidence.
- Authors must protect confidential, personal, copyrighted, and sensitive information when using AI tools and comply with applicable ethical and legal requirements.
2. Disclosure of Gen-AI Use
When Gen-AI has been used substantively in preparing a manuscript, authors must disclose the tool used, its purpose, and the nature of its contribution. Routine spelling, grammar, and reference-formatting tools do not normally require a separate disclosure unless they substantially generate or alter scholarly content.
Suggested Disclosure Statement
“During the preparation of this manuscript, the authors used [name of tool] for [specific purpose]. The authors reviewed, verified, and revised the generated content and take full responsibility for the final published work.”
3. Use of Gen-AI by Reviewers
- Reviewers must maintain the confidentiality of submitted manuscripts and related communications.
- Reviewers must not upload or disclose unpublished manuscripts, reviewer reports, or confidential editorial materials to public or unauthorized Gen-AI tools.
- Reviewers remain responsible for their evaluations and recommendations. Gen-AI must not replace independent scholarly judgment.
- Any permitted use of AI assistance must comply with the journal's confidentiality requirements and applicable institutional policies.
4. Use of Gen-AI by Editors
- Editors must preserve the confidentiality of manuscripts, reviewer identities, and editorial correspondence.
- Unpublished manuscripts and confidential editorial information must not be entered into unauthorized Gen-AI systems.
- Editorial decisions must be based on scholarly merit, peer-review reports, journal policies, and independent editorial judgment.
- Editors must ensure that any AI-assisted editorial activity does not compromise fairness, confidentiality, or publication ethics.
5. Prohibited Practices
The following practices are unacceptable:
- Submitting AI-generated content as original scholarly work without appropriate human review and disclosure when required.
- Fabricating or falsifying citations, data, research findings, images, or other evidence using Gen-AI.
- Using Gen-AI to plagiarize, conceal the origin of content, or misrepresent authorship or research contributions.
- Using AI tools in ways that breach confidentiality, privacy, intellectual property rights, or research ethics.
6. Compliance and Editorial Action
The editorial team may request clarification or additional disclosure concerning the use of Gen-AI. Suspected misuse will be assessed in accordance with the journal's editorial policies and applicable publication ethics standards. Depending on the circumstances, actions may include requesting corrections, rejecting a manuscript, or taking further action consistent with the journal's procedures.
The use of generative AI must support, rather than replace, human scholarly responsibility. Transparency, accuracy, confidentiality, and academic integrity remain essential to every stage of publication in Praxis: Journal of Indonesian Language and Literature Education.
